Daily Operations Checklist for a Medical Office Manager

Your role is crucial in ensuring that daily operations run smoothly and efficiently. This checklist is designed to help you stay organized and on top of the key tasks that contribute to a well-functioning medical office. By following this checklist, you can ensure that your office provides a clean, safe, and efficient environment for both patients and staff.

1. Patient Schedule Review

  • Verify the daily appointment schedule.
  • Confirm patient reminders have been sent.
  • Ensure that any last-minute cancellations or changes are updated.
  • Coordinate with providers to manage the day’s workflow.
  • Identify and address potential scheduling conflicts.

2. Office Cleanliness and Sanitation

  • Conduct a walkthrough to ensure all areas are clean and organized.
  • Verify that waiting areas, exam rooms, and restrooms are sanitized.
  • Ensure that high-touch surfaces are disinfected regularly.
  • Confirm that trash is emptied and disposed of properly.
  • Review janitorial service logs for completion.

3. Equipment Functionality Check

  • Test essential medical equipment to ensure proper operation.
  • Confirm that computers, printers, and other office equipment are functioning.
  • Check for any malfunctioning or damaged equipment and report for repair.
  • Verify that calibration of medical devices is up to date.
  • Ensure that backup equipment is accessible if needed.

4. Supply Inventory Check

  • Review inventory levels for medical and office supplies.
  • Replenish supplies that are low or depleted.
  • Ensure that medications and supplies are within expiration dates.
  • Place orders for supplies as necessary.
  • Confirm that supply storage areas are organized and secure.

5. Staff Attendance and Coverage

  • Verify staff attendance and punctuality.
  • Ensure adequate staffing levels for the day.
  • Address any unexpected absences or coverage gaps.
  • Coordinate with staff to adjust duties if needed.
  • Monitor staff workload and provide support as required.
